Create column templates for entities
A column template determines which entity fields appear by default when reviewers view a list of entity items on the Documents page. The entity fields appear as columns in the List pane or the Related pane. In the List pane, reviewers can change the entity fields that appear by selecting a column template to display.
Note: Reviewers can also modify the columns in the List pane.
When you create an entity, the application automatically creates column templates for both the List pane and the Related pane. The column templates that the application creates include the default entity fields for that entity, such as Name and ID, but do not include any entity fields that you create. To allow reviewers to access a column template that includes the entity fields that you create, you can add the entity fields to a column template.
You can include fields that belong to an entity and that belong to connected entities in a column template. For example, say that the evidence entity is connected to the collection entity. When reviewers view a list of evidence entity items in the List pane, you want the reviewers to see the collection name for each evidence item. To do this, you can include the collection name field in a column template for the evidence entity.
If you want to display different entity fields when an entity item appears in the List pane or the Related pane, you can create multiple column templates.
Note: Reviewers can edit the values of some fields directly in the List pane.
Create or modify an entity column template
You can edit the column templates that are created by the application, create new column templates, or copy and then modify existing column templates.
To create or modify a column template for an entity:
To access the entities in a data model, do the following:
On the Case Home page, under Case Setup, click Data Models.
Click the name of a data model.
Note: When an entity exists in multiple data models, the entity's column templates are the same in every data model that the entity belongs to.
Click the name of an entity.
In the navigation pane, click Column Templates.
You can create a new column template or edit the column templates that are created by the application. If you want to create a new column template, select from the following:
To create a blank column template:
Click Add.
Type a unique Name for the column template. Reviewers see this name in the List pane on the Documents page.
Click Save.
To create a copy of an existing column template:
Click Clone.
In the Source template list, select the column template that you want to copy.
Type a unique Name for the column template. Reviewers see this name in the List pane on the Documents page.
Click Save.
Click the name of the column template.
To edit the entity fields that appear on the column template, do any of the following:
To add an entity field, click in the Select a field box, and then select a field. Press Enter or click outside the box.
To select the information about a field to display, in the Attribute column, click Value. Then select the information that you want to display, such as Count or Coded By.
Note: Depending on the field that you select, the attributes that you can display vary.
To rearrange fields, hover over a field, and then drag the handle to move a row up or down.
The List pane and Related pane display columns from left to right according to the order of the columns.
To specify the sorting order of entity items, do the following:
Note: One-to-many fields cannot be sorted.
In the first column that you want to sort, click in the Sort column to add a number. Entity items are sorted first by the column with a sort number of 1, then 2, and so on.
To remove a sort number, click the number.
To sort entity items in ascending or descending order, click A to Z or Z to A.
Repeat the previous steps to sort entity items by additional columns. You can sort up to five columns.
To remove an entity field, click the Delete button in the row for a field.
Click Save.
Set the security for the column template. For more information, see Set security for entity column templates.
Set security for entity column templates
Administrators can set the security for the column templates that belong to entities.
By default, the security setting for a new column template is set to Allow for the group in which you create the column template.
To set security for a column template for an entity:
To access the column templates associated with an entity, do the following:
On the Case Home page, under Case Setup, click Data Models.
Click the name of the data model that the entity belongs to.
Note: When an entity exists in multiple data models, the entity's column templates are the same in every data model that the entity belongs to.
Click the name of the entity.
In the navigation pane, click Column Templates.
Click the name of a column template.
In the navigation pane, click Security.
Depending on which groups you want to set security for, do the following:
To change the security for a user group, hover over the row for the group, and then select an option.
To change the security for all user groups, select an option in the heading row. Then click OK.
The following security settings are available.

Rename entity column templates
To rename a column template for an entity:
To access the column templates associated with an entity, do the following:
On the Case Home page, under Case Setup, click Data Models.
Click the name of the data model that the entity belongs to.
Note: When an entity exists in multiple data models, the entity's column templates are the same in every data model that the entity belongs to.
Click the name of the entity.
In the navigation pane, click Column Templates.
Click the name of a column template.
In the navigation pane, click Properties.
Type a unique Name for the column template, and then click Save.
