Work with Imaging

The imaging feature allows users to create image files of documents.

Administrators can enable the imaging feature for user groups, define the default imaging settings, and view properties of imaging jobs.

Enable the imaging feature

To enable the imaging feature, administrators must grant users access to the following imaging options:

Processing - Imaging - Automated

Processing - Imaging - Reversal

Enable imaging system fields

Administrators can make imaging system fields available to users. The fields appear as search criteria that the user can select on the Search page and as columns to display in the List pane. The following system fields are available:

Imaging Document Info

Imaging Format

Imaging ID

Imaging Reversal ID

Imaging Status

Imaging Warnings

Define imaging settings

You can define settings for the different types of documents that users can convert to images.

To define the default imaging settings:

On the Case Home page, under Manage Documents, click Imaging.

Click Settings.

On the Common page, configure the following settings, and then click Save.

In the General section:

Default image format: The image format that is selected by default when users submit an imaging job. Options include TIFF, JPEG, and PDF. Users can select a different image format when they submit an imaging job.

Auto-detect color and render to JPG: This option only applies if you select TIFF format  when submitting an imaging job. The application converts black and white documents to TIFFs and converts color documents to JPEG.

Image resolution (DPI): The resolution of the output images, in dots per inch (DPI). The default value is 300 DPI.

JPEG quality: The quality of JPEG images. To reduce the file size of JPEG images by reducing the quality of the images, you can decrease this percentage.

Paper size: The paper size of the output images.

Page orientation: The page orientation of the output images. If you select Portrait or Landscape, the application rotates images 90 degrees clockwise when necessary to match the selected orientation.

In the Non-imageable documents section:

Create slipsheet: If selected, the application creates placeholder pages for files with extensions that are listed in the Extensions setting, without attempting to process the files.

Slipsheet image text: The text that you want to display on the slipsheets for the Non-imageable documents.

Extensions: If you select the Create slipsheet check box, specify the file extensions for files that you want the application to convert to slipsheets instead of images.

Attempt to image other files that are unsupported: If selected, the application attempts to create images from the text files of documents with file extensions that are not supported by the imaging feature and are not included on the Extensions list.

In the Imaging-Manual section, in the File export destination list, select the location of the file transfer repository that the application downloads manual imaging files to.

On the Email and Websites page, configure the following settings for email and website files, and then click Save.

Resize tables to fit page: If selected, to fit tables within the page margins, the application resizes tables that are wider than the page.

Resize images to fit page: If selected, to fit images within the page margins, the application resizes images that are wider than the page.

Download images from the Internet: If selected, the application downloads Internet-based pictures that appear in the original document so that they are included in the output images. This option requires the RPF supervisor to have Internet access.

Support VML: If selected, the application images documents that include Vector Markup Language (VML).

Note: VML is an obsolete XML-based file format used for two-dimensional vector graphics and is supported for legacy reasons only. Internet Explorer no longer supports VML as of Internet Explorer 10.

Time zone: Select a time zone for rendering native email files into images. If you do not make a selection, the application uses the time zone set in the default settings for ingestions.

On the PDF page, configure the following settings for PDF files, and then click Save.

Show annotations: If selected, the application displays annotations that appear on PDF documents.

Brightness: To help differentiate between text and background in files in which those are similar, you can increase or decrease the value in this field. The value defines when content is transformed to black or white. A higher value means more content will be transformed to black. The default value is 15. Valid values are integers between 0 and 100.

Note: This setting applies only to imaging to TIFF.

On the Excel page, configure the following settings for Microsoft Excel files, and then click Save.

In the General section:

Print scale: The percentage to scale the original document page size to better fit in the output images.

Page orientation: The page orientation.

Note: The Page orientation setting on the Common page overrides this setting.

Page order: The order in which the application images the worksheet pages when the data does not fit on one image page.

Print row and column headings: Select Yes to include column headings in the output images.

Max number of pages to print: If imaging a document will result in multiple imaged pages, specify the maximum number of pages that you want the application to convert to images. Use 0 to image all pages.

Comments: Specify where to display comments on imaged documents.

Redact auto-populated information: Specify how you want automatically-populated fields, such as the current date, to appear in the output images.

The Redacted text option inserts a different generic text string for the different types of auto-generated values. For example, [AD] replaces AutoDate.

The Formula option displays the actual formula, such as AutoDate.

The Calculate option uses the formula to calculate and display a value. For example, AutoDate  displays the date that the document was imaged.

Show: Select the check boxes to display gridlines, borders, and headers and footers.

To leave the margins as they appear in the original documents, in the Margins section, select Original in the list for each option. To set custom margins for output images, select Custom in the list and then type a value in the box that appears.

In the Preprocessing section:

Select the Preprocess documents check box if you want to apply any preprocessing options. Then select any of the following options:

Show: Select the check boxes to display hidden rows, hidden columns, hidden worksheets, very hidden worksheets, and text that is the same color as the background.

Auto-fit: Select the check boxes to auto-fit rows and columns.

Clear: Select the check boxes to ignore Excel's settings for the print area, print titles (repeated rows or columns), and formatting on empty cells.

Other settings: Select all that apply: Unfreeze panes, Turn off auto filters, and Remove page breaks.

On the PowerPoint page, configure the following settings for Microsoft PowerPoint files, and then click Save.

Speaker notes: Specify how you want speaker notes to be imaged.

Print comments: If selected, the application images comments that are embedded in slides on the next page.

Print hidden slides: If selected, the application images slides that are hidden from presentation view.

Redact auto-populated information (like the current date): If selected, the application redacts automatically populated fields, such as the current date.

On the Word page, configure the following settings for Microsoft Word files, and then click Save.

Unhide hidden text: If selected, in the output images, the application displays text that was hidden from view in the original files.

Resize tables: If selected, the application resizes large tables to fit on the imaged page.

Resize images: If selected, the application resizes large images in a document to fit on the imaged page.

Redact auto-populated information (like the current date): Select how you want automatically-populated fields, such as the current date, to appear in the output images.

Track changes: Select how you want tracked changes to appear in the output images.

Comments: Select how you want comments in the document to appear in the output images.

Click Save.
