Introduction to productions

Both administrators and end users work with productions. However, only portal and case administrators can create productions and grant users the ability to view those productions on the Documents page. If a user cannot view a production, the administrator should check the user’s permissions in Security. For more information about security, see Set security for productions.

Productions have two main states: unlocked and locked.

Unlocked productions

An unlocked production is in the process of being created and organized. You can add documents to unlocked productions, and apply redactions and annotations to the documents to be produced.

Locked productions

When a production is locked, you can no longer add documents to the production. The application applies values such as footers, annotations, or numbering, that were assigned during production creation, to the documents. During the locking process, the application performs the following tasks:

Applies the sort order as defined in the production attributes.

Assigns production numbers by document and by page.

Generates all production footers.

Captures current redaction information.

Note: Any redactions or highlights that you add to a document in a production after the production is locked will not appear in the exported production.

Creates production rendition records, permanently recording the coding on the base documents at the time that you lock the production.

After a production is locked, it remains intact. The production values are no longer available for modification unless the production is unlocked by a user with the right permissions. The footer width, font size, and footer height are the only attributes of a locked production that users with permissions can modify. You can also update the production name and description. All other attributes of a locked production are fixed.

A locked production is ready for the next step, which is printing.

Production settings pages

The following table describes the pages in the productions section that you can define settings for.

Note: Changes are saved automatically on each page.

Update general production settings on this page, including Name, Description, Produced document label and start number, Produced page label and start number, Levels, and Sort order.

Production Rules

Set rules for how document populations are produced: as endorsable images, natives, placeholders, and with or without text files.

Redactions

Identify annotations to be applied as redactions in the production, and set redaction colors, borders, and labels.

Endorsements

Set footer values, widths, height, and font size. If the Enable PDF Annotations option is enabled, select settings for PDFs.

Security

Set permissions for a production.

Quality Control

Run quality control checks on documents in the production before locking a production.

History

Track jobs for a production.

Production action buttons

Administrators can create and manage productions using the buttons at the top of the various pages in Productions.

The following table describes the functions of the buttons.

Button

Add

On any of the productions pages and the production list page, click Add to create a new production.

Cancel

On the Quality Control page, click Cancel to cancel any quality control checks in progress.

Clone

On any of the productions pages, click Clone to create an identical version of a production. You can modify the attributes of the cloned production to meet different requirements.

Delete

On any page of an unlocked production, click Delete to remove the production. The button is only available for unlocked productions that have no documents coded to them.

Download Report

On the production list page, click Download report to download a spreadsheet (.csv file) of all of the data on the production list page.

Lock

On any page of an unlocked production, click Lock to lock the production. Lock is only available for unlocked productions.

Print

On any page of a locked production, click Print to view and change print settings, and submit the production for printing. Print is only available for locked productions.

Refresh

On the History page, click Refresh to update the status of jobs on that page. On the Quality Control page, click Refresh to update the status of the quality control checks on that page.

Run

On the Quality Control page, click Run to begin the selected quality control checks.

Unlock

On any page of a locked production, click Unlock to unlock the production. Unlock is only available for locked productions.
