Build an advanced Search query

The Advanced Search Query Builder is a tool that builds search syntax for you in three easy steps. This tool also allows you to edit or remove parts of the expression to refine your query. When built, that query expression then appears in the Search field.

To build an advanced search query, and perform an advanced search:

At far right of the Workbench tab's Search bar, click Advanced to display the Advanced Search window. You can hide or show the Advanced Query Builder by clicking the Advanced button at any time.

For each criterion you want to search on:

Under Pick search criterion, select a criterion (option/type of metadata) for your search from the list of available types: keywords, file size, file type, tags, comments, custodians, item sets, production sets, document ID, and filters.

Under Search criterion options, enter a user-defined value or values for that selected criterion.

For example, if you select a File size, you need to specify the minimum and maximum range to match against.

Click Add to Expression to add the search syntax (referred to as a 'rule' or 'an expresion') to the Expression table. You must click this button each time you add a value or values to a selected criterion per Step 2b.

Repeat step 2 as many times as needed until your query contains all the criteria and expressions you need for your search. Each rule or expression lists as you add it. The collection of rules makes up the search query.

Select whether to match all of the rules or any of the rules before you run the query.

Edit or remove a criterion and click Edit or Remove or click Clear All to clear all query criteria.

Click Search to run the search.

The corresponding search syntax for the expressions you specify in the tool appears in the Search bar of the Workbench tab. Other actions you can perform in the Advanced Search Query Builder include:

Click Edit to change the Selected criterion in a rule for a selected expression in the Expression table.

Click Remove to delete a selected rule from the Expression table.

Click Clear All to clear all expressions from the entire Expression table.

Click Advanced in the Search bar to close the Advanced Search Query Builder without searching.
